STEP BY STEP BOOKING GUIDE
- Your Holiday Contract: You must send the Company a signed Booking Form, the person who signs doing so for all individuals included on the Form. The contract is between the Company and the person/s intending to travel/travelling on arrangements offered by the Company. The services we agree to supply are those that appear on your confirmation invoice. You must check that this is accurate. Special requests not included on the confirmation invoice do not make up part of the contract. This contract and all matters arising from it are subject to Moroccan law and the sole jurisdiction of the Moroccan Courts.
- Secure your booking and payments: A non-refundable deposit of 2,000.00 dirhams per person must be sent with the signed Booking Form. Should the total holiday cost be over the equivalent of 18,000.00 dirhams per person we reserve the right to charge a deposit of 10% of the total. Acceptance of the booking will be made in writing by the Company, at which point a contract comes into existence. The balance of the price is due one month before departure; should this payment not arrive the Company reserves the right to treat the booking as cancelled, with normal cancellation conditions applying. Should the booking be made within one month of the departure date then the full payment is required on booking.
- To change your Individual booking: Should you need to change the departure date of your individual reserved private services and/or tour, this can be done and no fee applied so long as it is more than 30 working days before arrival in Morocco. Within these 30 working days and up to and including 15 days the amendment administrative fee will be 800 dirhams + any non-refundable costs incurred from cancellation of your original arrangements. Individual hotel and/or riad establishments may apply different Cancellation Policies. These will be provided you at time of reservation. Group party’s policy will be provided on request.

To cancel your Individual booking: Any cancellations by you must be made in writing. The date on which the Company receives the faxed letter or email will determine the cancellation conditions that will apply. These are listed below, and are a percentage of the total tour cost:
a. 32 and more days before departure: retention of the deposit.
b. 31-22 days before departure: 30%
c. 21-16 days before departure: 50%
d. 15 days or less: 100%
Group party’s policy will be provided on request.
We strongly advise you that insurance is taken out that covers the refund of monies paid should, for certain reasons, the need arises for cancellation.Cancellations and Refunds: If it becomes necessary for you to cancel your private service and/or trip, the above fees will apply computed as of the date of receipt of written cancellation notice
Rates are based on full private services and/or itinerary circuit and no partial refunds will be given for unused tour/trek arrangements for any reason whatsoever. Once you have been confirmed on a tour/trek that requires a medical certificate signed by a doctor, normal cancellation penalties apply if your doctor does not sign the certificate. We highly recommend that all clients purchase trip cancellation insurance.
Olive Branch Tours reserves the right to cancel any trip prior to departure for any reason whatsoever, including logistical problems that may impede trip operations. The refund of all land payments received shall release Olive Branch Tours from any further liability.
Olive Branch Tours must normally make substantial payments to its suppliers (hotels/riads, transportation companies, etc.) far in advance of the scheduled commencement date. If a private tour is cancelled due to force majeure (acts of God, war, labour strikes, earthquake, flooding, etc.), Olive Branch Tours will promptly refund the portion of the trip cost not already advanced to suppliers and use its best efforts to recover and refund the balance as promptly as possible. However, Olive Branch Tours does not guarantee recovery of any or all of the advance payments made, and our use of best efforts to recover these payments will not include the institution of any legal proceedings in foreign jurisdictions.
Olive Branch Tours is not responsible for expenses incurred by tour/trek members in preparing for a cancelled activity (e.g., nonrefundable advance purchase air tickets where issued by Olive Branch Tours, visa fees, inoculations, equipment, etc.) or for any additional arrangements should the tour/trek member have travelled prior to the reserved departure date. As above, once you have been confirmed on a tour/trek that requires a medical certificate signed by a doctor, normal cancellation penalties apply if your doctor does not sign the certificate.Transfers: You may opt for another private tour/trek without penalty by notifying us of your wish to transfer 30 days or more prior to departure.The additional or lesser sums of money will be advised and invoiced or credited as applicable. After that time you are subject to the cancellation fees outlined above. This does not apply to trips with non-refundable deposits.
- Should you have a complaint: Should you have a complaint while on holiday, you must notify your guide if reserved or our Head Office so that we can do what we can to immediately rectify the incident. Failure to do so will result in the client's ability to claim compensation being removed or at least reduced. If the problem is not brought to our attention we have no opportunity to rectify it. Should we be unable to immediately recify the situation then you must notify the Company in writing within 28 days of your return home so as to give the Company a reasonable opportunity to make inquiries of the operator involved.
- Travel documents and health: You must be in possession of a valid passport and permits (if applicable) required for your entry into Moroccor. This includes any medical certificates that are required. The client accepts responsibility for obtaining all such documentation. The Company does not accept any responsibility should your documentation not be in order.
- Insurance: We recommend you include Morocco in your travel insurance. Local medical provisions may not be adequate in emergency situations. Such travel insurance is compulsory for all clients travelling on a tour with the Company. This insurance must cover personal accident, medical expenses and repatriation. Clients are solely responsible for arranging their own insurance and they should ensure that they are covered for the full duration of their tour and whether or not any adreneline activities are included.
- Tour Authority: At all times the authority of your guide or assigned operator will be final when concerning matters likely to endanger your safety and the well-being of a tour. You must always comply with the local law, customs and drug regulations of Morocco. Failure to do so may lead to you being ordered to leave the tour without recourse to any refund or any legal claim against the Company. In the case of ill health certified by a doctor the Company and its operators can make those arrangements that it sees fit and recover all monies paid by the client.
- Pricing system: All prices for tours and land arrangements will be quoted in Moroccan Dirhams unless otherwise stated. At the time of confirmation of your entire unamended reservation the Moroccan dirham equivalent price quoted on your booking invoice becomes fixed and it is this price that will be charged for your travel arrangements.
- If we change or cancel a private tour: It is not our intention to make changes to, or cancel, your tour once we have accepted your booking. However, from time to time it may be necessary and we reserve the right to do so. Most changes are minor and in all cases we will tell you, as soon as reasonably possible, before the date on which you are due to arrive in Morocco. Occasionally, we may need to make a major change. 'Major changes' include a total change of itinerary, a change of resort, of accommodation where the new accommodation is of a lower official classification. Should we make any major changes, you must let us know as soon as possible if you wish to accept the changes or cancel the holiday. Where we have accepted your booking and we find that we have to cancel it (for any reason other than your fault) before it is due to start or we cancel the holiday because you do not wish to accept a major change by us, you can then either:
- Take a replacement holiday with us of equivalent quality or higher quality provided that you pay the additional amounts due (subject to availability);
- Take a replacement holiday with us of lower quality (subject to availability) and we will refund the difference in the sums which you have paid to us and the price of the replacement holiday; or
- Ask us to refund to you all payments you have made to us. If you accept a major change or, where we have had to cancel your holiday, choose either of the options in paragraphs (a) or (b) above, we will pay you compensation in accordance with Scale A below. If you choose the option (c) above we will pay you compensation in accordance with Scale B below. Compensation will not be paid where the change or cancellation is made as the result of unusual or unforeseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care

Please note in all cases our liability in respect of significant changes and cancellations is limited to offering you the above mentioned options and where applicable the compensation payments set out above. We regret that we cannot be held responsible for incidental/consequential costs or expenses you may incur as a result of any changes or cancellations. No compensation is payable for minor changes.
- Our liability for your services: We accept responsibility for any death, bodily injury or illness caused to you as a direct result of the proven negligent acts and/or omissions of our employees and agents and our suppliers and sub-contractors and their servants and/or agents while acting in the scope of, or in the course of, their employment. Except as provided in paragraphs (a) to (c) below, we accept responsibility for any damage caused to you as a result of any failure to perform, or improper performance of the sub-contracted services we have agreed to provide to you. We shall not be responsible to you where failure or improper performance is not due to our fault or that of our suppliers because: (a) Such failure is attributable to you or any member of your party: (b) Such failure is attributable to a third party unconnected with the provision of the services to be provided to you and is unforeseeable or unavoidable; or (c) Such failure is due to unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, or to an event which we or our suppliers, even with all due care, could not foresee or forestall. Such circumstances or events include (without limitation) war or threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire or adverse weather conditions. Subject to the limitation of liability set out in the following paragraph, our liability to you for any loss and damage which you may suffer (other than personal injury resulting from the non-performance or improper performance of the services included in the holiday) is limited to twice the price of your holiday. We have no liability to you for the non-performance or improper performance by air carriers, sea carriers, and rail carriers. Whereas all precautions shall be taken and our representatives are concerned about the welfare of the client, they cannot be held liable for delays or damage caused beyond their personal control, including damage or delay due to sickness, machinery breakdown, weather conditions, government restraints and no responsibility can be accepted for additional expenses, delays, or change of transport. The right is reserved to change the itinerary of tour for the convenience of passengers and to provide better alternatives if necessary. Remember you are travelling at your own risk but rest assured Olive Branch Tours shall attempt to provide for all your needs. The liability of hotel keepers of any services to be provided by them as part of your holiday is limited to the amount you can validly recover against such hotel keeper in accordance with any applicable domestic Moroccan law. We do not accept liability for any claim (other than claims for personal injury arising from the non-performance or improper performance of any service) in contract, tort (including negligence) or otherwise for consequential, economic or indirect loss or damage. Nothing in these booking conditions affects your statutory rights. Please note that where the cause of your loss, damage or injuries is due to our agents, suppliers or sub-contractors, our acceptance of liability is subject to you assigning to us your rights against them and to your co-operating with us in any legal action we may take against them. We accept responsibility for the proper performance of the obligations in the contract between you and the Company even where these obligations are performed by one of our suppliers. However we do not accept responsibility for any damage/injury caused that are attributable to your own actions, acts of some other party unconnected with the contract services or where the damage/injury results from events/circumstances which arer outside our control and could not be reasonably forestalled. For injury claims our liability is in all circumstances limited to twice the total price of the tour. In agreeing to these terms you accept this limit on our liability because it helps keep the prices of the tours as low as possible.
- Flights/delays :
We cannot accept any liability whatsoever for any delay in your inward or outward flight/s, whether the cancellation or delay is caused by the weather, airline rescheduling, industrial action or mechanical failure. We shall give no refunds or compensation for lost time and services included in the programme. - How to Book a Private Tour: The next step to adventure is easy! After you sign up, the same area specialist will normally be your single point of contact, overseeing all of your arrangements, including trip extensions, until you arrive home.

These are available for downloading, or they can be sent to you via fax, email, or mail. Our Area Specialists can answer any questions you might have or adapt the tour to your specific needs, or custom-make one to your specifications and they would be happy to refer you to someone who has travelled with us before for a reference.
- Reserving Your Private Tour: Early reservations are recommended, since airlines often sell out of their best fares many months in advance. Upon receiving your deposit we will send you a confirmation letter, detailed tour itinerary, visa applications where necessary.
- Pricing: Will be in Moroccan Dirhams.
- Single Supplements: Tour and/or pre-reserved trek hotel/riad accommodations are normally based on double occupancy. A single supplement is paid by participants who specifically request single accommodations, subject to availability.
- Limitation of Liability:
Payment of your deposit represents your acceptance of the following terms and conditions:
Olive Branch Tours gives notice that services provided in connection with its itineraries, including ground transportation, hotel accommodations, gîtes d’etape, mule teams and other services, are purchased from various independent suppliers who are not affiliated with Olive Branch Tours in any way. Although we endeavor to choose the best suppliers available, Olive Branch Tours has no right to control their operations and therefore makes these travel arrangements upon the express condition that Olive Branch Tours and its own agents and employees, shall not be liable for any delay, mishap, inconvenience, expense, irregularity, bodily injury or death to person, or damage to property occasioned through the conduct or default of any company or individual engaged in providing these services. Each of these passenger conveyance companies, hotels, riads, restaurants, etc., is subject to the laws of Morocco.The Company shall not be liable for: (a) expenses such as additional hotel nights and meals not specified in the individual trip itineraries that may be required either en route, prior to, or following a trip, when caused by individual clients' travel arrangements, by airline scheduling or airline schedule changes, canceled flights, missed flight connections, or by other factors not under the control of the Company; (b) expenses incurred in recovering luggage lost by airlines, belongings left behind on a trip, or in shipping purchases or other goods home from abroad; (c) bodily injury or property damage for any reason, including but not limited to acts of God, weather, quarantines, strikes, civil disturbance, theft, default, detention, annoyance, changes in government regulations, terrorism, war, or failure of conveyance to arrive or depart as scheduled, etc., over which the Company has no control.
The Company reserves the right to take photographic or film records of any of our trips, and may use any such records for promotional and/or commercial purposes.
The Company reserves the right to decline to accept or to restrain from further participation any person it judges to be incapable of meeting the rigours and requirements of participating in the activities, or any person whose actions or deportment impede the effective operation of the private excursion. A refund based on cost of unused land services is the limit of the Company’s responsibility in such a case.
- Hiking/Trekking Participant Responsibility: Such participants have the responsibility to select an itinerary appropriate to their abilities and interests. In order to assist you we grade each trek with a Rating. We are also happy to discuss the trek with you. Participants are held responsible for being in sufficient good health to undertake the trek and are also responsible for preparing for the trek by studying the itinerary and for bringing the appropriate clothing and equipment as advised therein.
